What you can do
Requirements in the working cycle
The Instructor records each requirement under its parent enrollment. A line can carry its sequence, description, quantity, unit, observation date and source reference. Its outcome distinguishes Pending, Accepted and Rejected. The parent relationship keeps a requirement tied to the specific application being reviewed.
Consider an enrollment with a supporting eligibility item. The Instructor records the description and source reference, then checks the item against the submitted evidence. If the item needs correction, a follow up action gives someone a due date and a clear request. The Academic Reviewer can inspect the outcome in the enrollment context.
How the work is organized
- Identify each line. Instructor records the sequence, description and source reference under the correct enrollment.
- Record the check. Pending, Accepted and Rejected show the outcome of each requirement line.
- Assign a correction. A linked follow-up gives an unresolved line an assignee and due date.
What to agree during setup
Agree which items the institute checks for each offering, how source references are entered, and when an outcome should be accepted or rejected. The line detail should be understandable to someone who did not perform the first check.
Agree which items must be checked for each course and what source reference makes each line traceable. An Instructor should know when to mark a line accepted or rejected and when a follow-up is required. Keep the decision reason on the record the reviewer will inspect.
Check the handoff on an actual case
Rehearse a pending item, a resolved item and a rejected item on one enrollment. Verify that the line stays attached to the parent and that a follow-up names a person and due date when more work is needed.
Use a submitted enrollment with a pending eligibility item. Confirm that its parent is the intended case, then compare the line description and reference with the attached evidence. If it remains unclear, assign the correction and leave the outcome visible for the Academic Reviewer.
Keep each requirement as a separate line when the reviewer needs to reach a separate outcome. The sequence and description make the list readable; the parent reference prevents a line from appearing under another learner’s case. A quantity, unit, observed date or amount can be recorded when the item needs those details. Do not treat a completed follow-up as proof that a requirement was accepted. The Instructor should update the line outcome after checking the supporting source, then let the Academic Reviewer inspect the line beside the submitted enrollment and the related evidence.
