Request to reserved stock

Authorize the current stock request and reserve only the eligible quantity still free on the selected lot.

Step by step

  1. Prepare the request Inventory Clerk

Inventory Clerk confirms the item, base unit and location context, enters the requested quantity and required date, and presents the request for review. Keep the owner and current revision clear for the next person.

    • Present the current quantity and locations for review
    • Updates Stock requests, Stock items, Storage locations
  2. Decide the current revision Inventory Supervisor

Inventory Supervisor approves the request or records a Rejected, Returned or Escalated decision with a reason. The decision action refuses stale revisions and requests already executed or cancelled. Approval produces the decision evidence and advances the request revision.

    • Record the decision and advance the approved revision
    • Updates Stock requests, Review decisions, Operation receipts
ApprovalA person approves before the work moves on.
  3. Select eligible stock Inventory Clerk

Inventory Clerk reviews the chosen lot's release state, location and relevant dates. Apply the rotation and allocation method agreed during setup, then check the commitments already held against that lot.

    • Assess lot suitability and existing commitments
    • Updates Stock lots, Stock reservations, Allocation policies
  4. Place the reservation Inventory Clerk

Run the reservation action for the request and lot. The commitment cannot exceed on-hand stock less active held reservations. A successful action records the hold and its receipt; a shortfall produces a Failed receipt with the reason.

    • Hold eligible free stock or record a shortfall
    • Updates Stock reservations, Stock lots, Operation receipts
  5. Review the handoff Inventory Supervisor

Inventory Supervisor reviews any shortfall or changed scope before the clerk proceeds. Repeating a successful request-and-lot operation reuses its existing reservation. If scope must change, use the supported correction or cancellation action to release affected holds.

    • Resolve exceptions through the authorized action
    • Updates Stock requests, Stock reservations, Operation receipts

Where it usually breaks

And how to keep it from happening.

  • A clerk treats all on-hand stock as free even though another request already holds part of the lot. Review held commitments before retrying.
  • The request changes after the supervisor opens it. Refresh the revision before making a new decision.
  • A retry is treated as a new request. Reuse the original operation identity when checking an uncertain outcome.
