Charge and payment review

Finance Officer keeps financial items attached to their source booking. Booking charges describe dated kitchen usage; add-on charges describe named extra service. Payment records show amounts received, references and confirmation status. The booking links the full position for review.

Step by step

  1. Record charges Finance Officer

Finance Officer enters booking and add-on charges as Draft with dates and amounts. The source booking and service activity provide the review context.

    • Creates dated `Status: Draft` items
    • Updates Booking charges, Add on charges, Bookings
  2. Post reviewed amounts Finance Officer

Finance Officer moves an eligible charge to Posted. A Voided charge remains visible but should not be treated as active value.

    • Records `Status: Draft → Posted` or `Status: Posted → Voided`
    • Updates Booking charges, Add on charges
  3. Record payment Finance Officer

Finance Officer records each receipt against the booking, using the source reference. Pending becomes Confirmed only after provider confirmation; a refund is recorded with Refunded.

    • Tracks `Status: Pending → Confirmed` or `Status: Confirmed → Refunded`
    • Updates Payments, Bookings

Where it usually breaks

And how to keep it from happening.

  • A charge is posted against the wrong booking. Check client, kitchen and booking number before posting.
  • A second charge repeats the same usage. Compare charge dates, descriptions and amounts on the booking before accepting it.
  • A Pending receipt is counted as settled. Compare only confirmed payment amounts with the active charge position.
  • A refund changes the payment position after completion. Finance Officer should revisit the booking's financial review.
