Payout tracking
Payouts records each disbursement against a statement with an amount, paid date, method and bank reference. Collections uses its status to follow work from Scheduled through Received and Applied to Reconciled. A Failed item stays visible for investigation. The linked statement provides the amount already paid out and the remaining balance.

What you can do
How the work is organized
- Disbursement record. Link each payout to the intended statement and account; retain the method and bank reference.
- Statement balance. Review the total, amount paid out and balance due after an applied payout.
- Exception queue. Keep failed items separate from normal reconciliation until the reason is understood.
What to agree during setup
Decide which system confirms the transfer and which person updates the payout status. Set a reference convention that lets Collections identify a bank item without exposing unnecessary payment details. Agree how partial payouts are recorded and how the team checks that a new payout belongs to the same account as its statement. Finance Leadership should define when a failed payment returns for review. Reconciliation should use the actual external acknowledgement when a bank or payment service is connected.
Check the handoff on an actual case
A sent statement has a balance due. Collections records a scheduled payout for part of that amount and links it to the statement. When the transfer is received and applied, Collections records the statement as partially paid and checks the remaining balance. The bank reference gives the reviewer a way to match the external record. A later payout fails. Collections leaves that payout in Failed status and investigates it; the original successful payment remains on the statement. After an actual replacement payment is applied and reconciled, the statement balance can be checked again. The team should be able to explain which amount each payout settled and which item still requires action.
Before closing the period, Collections should open the statement and compare its amount paid out with each payout record attached to it. Check the account on both sides and preserve the reference used to identify the transfer. A payout marked Received still needs the team to decide whether it has been applied to the intended statement. Once it is Reconciled, keep the earlier status history and bank reference available for a later question about timing or a partial balance. Finance Leadership can then distinguish a payment exception from an overdue statement.
