Closeout billing

The task and payment record carry closeout work beyond the site correction. A task must have an amount and work package to pass the invoice action. Payment records then keep the invoice reference, due date and collection status with that task.

Step by step

  1. Define site scope Project Manager

Project Manager checks which package owns the closeout task.

    • Places task under the right scope
    • Updates Work packages, Tasks
  2. Complete trade work Site Superintendent

Site Superintendent verifies that the task summary and due date reflect the work completed.

    • Confirms work summary, owner and due date
    • Updates Tasks, Team members
  3. Prepare closeout task Project Manager

Project Manager confirms the task owner, due date, amount and work package, then records task sign-off as Approved before billing.

    • Records task sign-off as Approved before billing
    • Updates Tasks
  4. Invoice closeout task Project Manager

Project Manager signs off the approved task for billing. The workflow checks amount and package, moves it to Invoiced and writes an operation receipt.

    • Moves valid task to Invoiced or records failure
    • Updates Tasks, Operation receipts
  5. Record payment Owner

Owner records the payment against the task and marks it Received when collection is confirmed. A payment receipt records that operation.

    • Records collection status and receipt
    • Updates Payment records, Tasks, Operation receipts
