Leave request to balance

Follow each requested day from its schedule calculation through approval and actual absence. Future commitments remain distinct from time already taken, including when an employee cancels part of a request or crosses a leave-year boundary.

Step by step

  1. Prepare Employee

Employee selects the inclusive dates, leave type and permitted fractions. Resolve the effective work schedule, calendar and leave policy for each date. A full scheduled working day counts as one day, including part-time schedules; partial absence uses the fraction of that day’s hours. Nonworking dates contribute zero, and cross-year requests use the appropriate balances.

    • Calculate the eligible daily request
    • Updates Leave requests, Leave days, Work schedules, Work calendars, Leave policies
  2. Submit Employee

Employee submits the complete daily breakdown. The action checks eligibility, overlaps and available or expressly authorized advance capacity, then reserves all affected fractions together. Missing or conflicting policy blocks submission. Submitted and approved future days both remain pending, so another request cannot spend the same time while a decision is outstanding.

    • Reserve eligible fractions atomically
    • Updates Leave requests, Leave days, Leave balances, Leave entries
  3. Approve leave Manager or HR Manager

The assigned independent Manager reviews routine requests when policy permits; HR Manager reviews designated types and escalations. The actual reviewer must differ from the employee and request preparer. Approval retains the existing reservation without another deduction. Rejection releases only unused reserved fractions through the original contribution identity.

    • Decide the request while preserving its reservation
    • Updates Approval decisions, Leave requests
ApprovalA person approves before the work moves on.
  4. Record absence Employee or Manager

Employee or Manager confirms elapsed daily absence according to the approved policy. An explicitly configured elapsed-day rule may supply that factual confirmation. Each accepted fraction moves from pending to taken once; the whole future interval cannot become taken on its first day. A related employment leave-of-absence change follows separate lifecycle approval.

    • Transfer confirmed elapsed fractions into taken time
    • Updates Leave days, Leave entries, Leave balances
  5. Cancel unused leave Manager or HR Manager

Employee requests cancellation of remaining unused time. The assigned Manager or HR Manager confirms the exact current fractions under policy and independent-person checks. The release cannot include days already taken, another request’s reservation or another year’s earnings. A partly used request keeps both its actual absence and cancellation evidence.

    • Confirm and release only unused reserved fractions
    • Updates Approval decisions, Leave requests, Leave entries
ApprovalA person approves before the work moves on.
  6. Correct taken leave HR Manager

An independent HR Manager reviews an evidenced correction to absence already taken or an affected balance contribution. The bounded reversal traces the original day and funding allocation. Corrections cannot erase valid usage, restore the same amount twice or bypass authority needed for a remaining negative balance.

    • Apply the bounded reviewed correction
    • Updates Approval decisions, Leave days, Leave entries
ApprovalA person approves before the work moves on.
  7. Reconcile balance HR Manager

HR Manager reconciles earned, carried, reserved, taken and expired amounts by leave year. Resolve old-year pending time before closing or explicitly reallocating it. Carryover creates one paired transfer into the new year; the old closing balance remains historical. Changes to days already carried or consumed require review of those dependent allocations.

    • Reconcile earnings, expiry and paired year-end movements
    • Updates Leave balances, Leave entries, Leave policies

Checks built in

What Core HR enforces at each step.

  • Approval changes authority without moving balance buckets. Taking the same reserved day leaves available time unchanged.
  • Later schedule or policy changes require reviewed daily allocations; they cannot silently recalculate accepted absence.
  • Advance reservation is finite permission to commit future time, not newly earned leave.
  • Expiring carryover cannot remove a reserved day’s funding without explicit resolution.
  • Managers receive operational dates and status; protected reasons and documents follow separate access grants.
  • Migration opens reconciled balance buckets once. Imported reserved-day details do not reserve the same days again.
