What you can do
Establish who owns the event
Each event belongs to an organization, has a team member as owner and points to a venue. The organization supplies a name, code, active state, time zone and currency. The venue supplies its own active state, contact, address and eligibility note. Team membership connects a platform user to an organization, a role name and a time zone. These records let an organizer identify the responsible group before assigning an event to a place.
For an event shared by several departments, the owner still needs one accountable organization. A venue contact can answer practical questions about access and the address, while the eligibility note helps the organizer decide whether the venue fits the plan. The event’s schedule and capacity remain on the event record, where a reviewer can consider them together.
How the work is organized
- Organization. This is the operating scope for events, venues, team members and budgets.
- Team member. Membership connects the user account to the organization and identifies the event owner.
- Venue. The active state, contact details and eligibility note support venue selection.
What to agree during setup
Confirm organization codes, local time zones and currency choices before loading events. Decide who may update venue eligibility notes and when a venue should be marked inactive. Link each team member to the correct user account and organization. A staff member who moves teams needs the ownership and access implications reviewed before new events are assigned. Use one naming convention for venues so planners recognize the same location in the calendar and event detail.
Check the handoff on an actual case
Set up an operating organization with its local time zone, then an active venue with contact and address. Link a team member to a user account and create an event with that member as owner and the venue as counterparty. Open the event calendar and verify the owner, venue and start time. Mark the venue inactive and check how planners choose a location for a new draft. Review an existing event separately; its recorded venue association should remain clear to the people who handled it.
