What you can do

Make the decision traceable

A matter can begin with a potential conflict question. The reviewer records a clear, conflict or more information outcome, the review date and the evidence behind it. That decision belongs to the matter, where the coordinator can see it before engagement proceeds. A label without the evidence leaves the next reviewer unable to understand why work was accepted or declined.

An independent matter review has its own decision record. It names the source revision, reviewer, date, decision and reason. The reviewing attorney can approve, reject or return the current revision. The source revision matters because the coordinator may revise the matter after an earlier decision. The old decision should remain explainable rather than silently being treated as approval of new content.

How the work is organized

  • Conflict clearance. Keep the reviewer, outcome and evidence beside the intake matter.
  • Revision decision. Tie each approval, rejection or return to the revision actually considered.
  • Operation link. Keep the operation key available when a reviewed action has a related receipt.

What to agree during setup

Agree who performs conflict review, who is eligible for independent revision review, and how self-review is prevented in your permission policy. Define what evidence is sufficient to clear a counterparty match. Decide when a request for more information returns to the coordinator and what change requires a fresh review.

Map reviewer identity to the correct team member. A text name in a conflict finding and a linked team member on a revision decision serve different purposes; retain both accurately. Decide which supporting attachments are internal and which may be shared. Reviewers need the right matter scope while auditors need a stable record of what was considered.

Check the handoff on an actual case

Suppose a new matter names a counterparty whose organization code is similar to an existing client. The coordinator records the relationship and asks for conflict clearance. The supervising attorney requests more information, records the reason and later records a clear outcome with evidence. The matter can then proceed to engagement under the agreed policy.

When the coordinator sends the active matter for independent review, the supervising attorney checks the current revision and records an approval or return with a reason. If the coordinator changes the underlying matter after a return, the team should ask for a new review of that revision. The auditor can read both decisions in order and see which one applies to the final work.

What your team sees

  • Conflict findings needing information — Follow findings that need another fact before clearance.
  • Matters for independent review — See the matters in the review state.
  • Review outcomes — Inspect decisions with reviewer, date, revision and reason.
