What you can do
Give every matter a clear owner
A governance issue begins with a subject, a record number and the organization responsible for it. The Matter Coordinator identifies the counterparty and assigns a team owner before the work moves beyond intake. The same record holds the jurisdiction, engagement reference and agreed fee where those details apply. A reviewer should be able to see who is responsible without searching messages or a separate spreadsheet.
The working status gives the team a shared account of progress. Intake work can move to conflict review, then engagement and active work. A matter in review calls for a decision on the current revision. Closed and declined matters remain readable in context rather than disappearing from the history. The team should agree what each status means for handoff and who may record each change.
How the work is organized
- Organization and counterparty. Keep the governed entity and the related client distinct so reviewers can understand the relationship.
- Owner and revision. Assign a team member and retain the revision being examined when an independent decision is recorded.
- Dated history. Connect events, deadlines, documents and decisions to the same matter record.
What to agree during setup
Choose stable record numbers and a consistent way to identify organizations and clients. Decide who can open a matter, who checks conflicts, and which supervising attorney can review a revision. Map existing records to their owners before importing them. An owner name without a linked team member will not give the next person a reliable work queue.
Define when a matter is ready for review and which evidence must accompany that handoff. A reasoned decision is more useful than a status label alone. Keep permission scope aligned to the organization and assigned work, especially when a person supports several entities. Decide how older closed records should be made available to auditors.
Check the handoff on an actual case
Suppose a coordinator opens a governance matter for a client entity whose name resembles an existing counterparty. The coordinator records the subject, source reference and owner, then sends it for conflict review. A supervising attorney checks the linked client and records the decision and evidence. Only after clearance does the team record engagement and continue active work.
Later, the matter requires a board resolution. The resolution links back to this matter; its meeting context and decision remain separate records. The coordinator can see that the matter is active, while the reviewer can inspect the exact revision and evidence before leaving an independent review decision. Closing the matter includes a check of outstanding deadlines and operation receipts.
What your team sees
- Matters in progress — Find active and review work by status, owner and organization.
- My team member profile — Check the signed-in person’s linked team member and organization before assigning work.
- Matters for independent review — Inspect work waiting for the supervising attorney’s decision.
Follow the work through
Start with matter intake and conflict review, then follow review and closure.
