What you can do
Establish who can work on the customer quote
A furniture sales team may quote for several operating organizations. Each quote belongs to an organization and identifies a customer and an owner. The App Administrator maintains the customer and membership records that make those choices meaningful. Customer eligibility and active membership are part of preparing a quote for guarded pricing and review.
The operating organization carries its name, code, currency and time zone. Customers carry a contact name, address and eligibility note. Team membership connects a named person to an authenticated user within an organization. This gives the team a practical way to discuss access without treating a familiar customer name as permission to work across every organization.
How the work is organized
- Maintain customer eligibility. The App Administrator records the customer code, contact details and active state within the correct organization. The eligibility note explains the commercial context the quoting team should consider.
- Connect people to scope. Maintain active team membership with the appropriate role name and authenticated user. The quote owner and pricing reviewer must resolve to the people carrying out the work.
- Check administrative boundaries. Administration of customers and membership does not grant a pricing decision. Keep the independent Pricing Reviewer responsible for approval of the eligible quote revision.
What to agree during setup
Agree which organization owns each customer relationship before importing customers. If a buyer deals with more than one operating business, decide how the team will distinguish those customer records by code and organization. Keep contact names and addresses recognizable to the sales team handling the room package.
Confirm the time zone used for each organization and team member. Validity and required dates need a shared operating interpretation when people work in different locations. The organization currency provides business context, while quote prices remain expressed in USD. Agree how prices are prepared when the source list uses another currency.
Check the handoff on an actual case
Rehearse a dealer with separate East and West operating organizations. Give the Quote Specialist active membership in East and prepare an East customer quote. Confirm that its customer and owner resolve within the authorized scope. Then attempt the same action against a West quote from that session. The guarded operation must reject the unauthorized request without changing the quote.
Have the App Administrator correct a customer contact and inspect the resulting record with an authorized specialist. Separately, attempt a pricing decision using administrative access alone. The team should see that customer maintenance and commercial approval remain separate responsibilities. Finish by checking that the Auditor can inspect authorized records without acquiring edit or execution access.
