What you can do

Keep the room requirement connected to the price

Furniture buyers often discuss a room before they discuss individual product lines. A reception area needs a finish and a seating requirement; a conference room has a required date that influences the customer’s decision. The Quote Specialist records those details in a room package linked to the quote. The linked quote carries the priced furniture lines and commercial total.

A package gives the team a place to follow that room through submission, pricing review and completion. The room status and the quote status answer different questions. An Approved room package has passed its review decision. The team requires persisted completion evidence before the package can become Completed. Customer acceptance is recorded separately on the parent quote.

How the work is organized

  • Describe the room. Record the room name, finish, seat count and required date. Link the package to the correct quote and operating organization so the reviewer can relate the physical requirement to the selling scope.
  • Submit the package. The Quote Specialist moves Draft work into Submitted through the guarded room pricing action. Review the linked line prices and validity, applying promotion treatment once per quote line.
  • Close with evidence. The Pricing Reviewer decides whether Submitted work can become Approved or Rejected. Completion follows only after the required evidence is persisted and available for inspection.

What to agree during setup

Agree a naming convention that lets the customer and your sales team recognize the same room. Names such as East Conference Room are more useful than a project-wide label repeated across every package. Decide how finish descriptions will be written and who confirms them before submission.

Discuss how the seat count relates to the product quantities. A room may include visitor seating and other furniture beyond its main work positions. The specialist should explain that relationship through the quote lines and supporting evidence rather than assuming the seat count determines the total. Agree who checks the required date when the customer changes the room scope.

Check the handoff on an actual case

Use an East Conference Room package with twelve seats and a natural oak finish. The Quote Specialist links it to the customer quote and checks the priced lines. The Pricing Reviewer opens the Submitted package and compares the room requirement with the revision being reviewed. If the finish description needs correction, the team resolves it before relying on the pricing decision.

After approval, rehearse a completion request while its supporting operation remains Pending. The package must not become Completed merely because a reviewer approved the commercial scope. Once the actual completion evidence exists, repeat the check and confirm that the package can be traced back to the parent quote and its operation history.

What your team sees

  • Room Package Board — Room packages grouped by Draft, Submitted and Approved status for daily follow-up.
  • Room Package Inbox — Submitted packages that need an independent pricing decision.
  • Room Packages Due — Room requirements whose required date has arrived and needs attention.

Follow the work through

Use room requirements into pricing and accepted quote handoff to rehearse the full package journey.
