Systems to connect
- Order management. Configure the destination that receives the accepted quote revision and equipment lines. Agree the payload and the external reference returned after the receiving system persists the work.
- Customer and equipment sources. If another system owns account details or price inputs, agree how those values enter customer records and draft equipment lines. Preserve account codes, product codes and the price book reference when preparing an offer.
- Site engineering documents. Obtain utility and ventilation evidence from the people responsible for the kitchen. Attach the relevant files to the quote and set their visibility for review.
How connections are governed
Name an owner for each connection and rehearse it with a pilot quote. Restrict requests to the correct organization and expected revision. The accepted quote handoff uses a stable operation identity so retrying the same revision can reuse its existing result. Confirm how the receiving system handles repeat requests and uncertain responses before live use.
When the order connection is absent, the operation remains Pending. A successful request needs a real external reference and evidence of the saved outcome. Reconciliation checks the recorded claim against local quote evidence and routes discrepancies for review. Keep purchasing, installation scheduling and invoicing responsibilities with the systems that perform them, and agree the operational handoff with their owners.
