What you can do

Follow the accepted equipment into the next system

Once the quote is Accepted, the Quote Specialist requests a handoff for that specific revision. The order management connection receives the accepted equipment scope. The operation receipt records the request and its result, including a real external reference when the downstream work succeeds. A Pending result remains visible until the outcome can be confirmed.

This gives a dealer a useful distinction during a busy kitchen refit. The customer’s acceptance can be recorded even while the order connection still needs attention. Staff can inspect the receipt and resolve the connection issue without changing the accepted equipment lines or telling the customer that an order has been created prematurely.

How the work is organized

  • Stable requests. The handoff uses a repeatable operation key tied to the quote and revision. Retrying the same request should return its existing outcome instead of creating another order request for the same accepted scope.
  • Persisted evidence. Receipts retain the action, expected revision, occurrence time and result. External and effect references explain the saved outcome; a failure reason directs the team to work that needs attention.
  • Controlled follow-up. Reconciliation checks unresolved receipts against the local quote, lines and decisions. Corrections to executed scope require a reviewer-approved compensating action while retaining the original history.

What to agree during setup

Choose the order management destination and agree who owns the connection. Map the accepted quote number, revision and equipment lines to the receiving system’s requirements. Decide what response establishes a successful handoff and how that response will be retained. Test retries before live use, including a response that arrives after the first request times out.

Agree who investigates pending or failed operations and those needing review. The Quote Specialist can coordinate the commercial follow-up, while the Pricing Reviewer handles decisions affecting executed scope. The Auditor should be able to trace the receipt to the original quote and review decision. Use attachment visibility deliberately when supporting documents contain internal cost or review material.

Check the handoff on an actual case

Start with an accepted rehearsal quote and request the handoff before a connection is available. The receipt should stay Pending and must not contain a fabricated external order reference. Configure the agreed destination, confirm its response and inspect the evidence supporting completion. Repeat the same request and check that it refers to the same operation outcome.

Next, suppose the customer changes the appliance requirement after acceptance. Ask for an authorized correction and have the Pricing Reviewer approve the compensating action before execution. Preserve the accepted quote and original operation evidence. Finally, introduce a discrepancy between a receipt’s claim and the local evidence. Reconciliation should identify it for review with a useful reason, rather than declare completion from the request alone.

What your team sees

  • Unconfirmed Operations — Pending, failed and review-needed actions with their failure reason and external reference.
  • Accepted Quote Handoffs — Accepted revisions that provide the commercial basis for downstream work.
  • Internal Evidence — Supporting files available to authorized staff investigating an operation.
