What you can do
Make each offer recognizable before pricing
The Quote Specialist starts with a Draft quote and a subject that describes the customer’s request. Record the customer, operating organization and owner, then set the validity date and revision. A subject such as regional data center rack expansion gives the Pricing Reviewer useful context before opening the line detail or supporting files.
Quote lines belong to the parent quote and carry their own revision values. The specialist uses product codes and quantities to describe the proposed commercial scope. Keep the prepared lines aligned with the revision being reviewed. When a customer requests a change, the team needs to distinguish the earlier reviewed offer from the work now being prepared.
How the work is organized
- Owned draft. The quote owner is a team member responsible for moving the offer forward. My Quotes helps that person inspect the current state and validity date without searching across the whole portfolio.
- Revision detail. Each line identifies its parent quote and revision. Check those values before pricing so a line from an earlier offer does not enter the current total.
- Validity. The validity date gives the team a common point for discussing whether an offer can still move to acceptance. Agree the relevant time zone during setup and use it consistently.
What to agree during setup
Agree how quote numbers and revisions are assigned and when a changed offer requires a new revision. Decide what happens to existing line detail when the specialist revises quantities or replaces a product code. The reviewer should receive an identifiable set of lines and evidence for the decision being requested.
Also agree which changes return work to Draft and who can request those changes. Keep the customer request in accessible supporting evidence when it explains the revision. Agree how the team identifies the price book revision and which source supplies the unit prices. The Quote Specialist checks the entered prices against that source before using the quote total in a customer discussion.
Check the handoff on an actual case
Prepare a draft offer for rack cabinets with installation support. The Quote Specialist records the customer’s purchasing entity and assigns the quote owner. Create the cabinet and support lines with the intended revision and set a validity date that the team can explain to the customer.
Before submitting the offer for review, change the requested cabinet quantity in a rehearsal copy. Ask the specialist to identify which revision contains the change and which lines belong to it. The Pricing Reviewer should be able to open the revised offer and distinguish it from the earlier preparation. Include a quote owned by another team member when testing personal queues, then confirm that My Quotes follows the signed-in member mapping agreed during setup.
