Correction and reconciliation

Correct authorized quote scope, preserve accepted-work evidence and verify operation claims against their recorded effects.

Step by step

  1. Identify the affected scope Quote Specialist

Quote Specialist reads the parent quote, current revision and operation evidence before requesting a correction. Separate unexecuted draft work from Accepted scope because the correction procedure depends on what has already happened. Record the customer's instruction as supporting evidence.

    • Establish the quote state and correction instruction
    • Updates Quotes, Operation receipts, Record attachments
  2. Prepare the authorized correction Quote Specialist

Quote Specialist uses the correction or cancellation action for the permitted scope. Unexecuted draft scope can be cancelled through that action. For accepted work, prepare a compensating request that identifies the original commercial basis and preserves its decisions and receipts.

    • Request cancellation or compensation within allowed scope
    • Updates Quotes, Quote lines, Operation receipts
  3. Decide accepted-scope compensation Pricing Reviewer

Pricing Reviewer independently approves the compensating action for Accepted scope. Keep the original quote and evidence available for Auditor to trace. The correction must explain the new action and its relationship to work already accepted or handed off.

    • Approve the compensating action while preserving earlier evidence
    • Updates Quotes, Review decisions, Operation receipts
ApprovalA person approves before the work moves on.
  4. Compare operation claims Auditor

The reconciliation action reads Pending, Failed and needs review receipts and compares their recorded claims with the local quote, commercial lines and review decisions. Auditor examines the result. Reconciliation reads the existing evidence and must not repeat pricing, acceptance or transfer.

    • Read and compare the existing completion evidence
    • Updates Operation receipts, Quotes, Quote lines, Review decisions
  5. Record the supported outcome Quote Specialist

A matching claim can move the receipt to Completed with real evidence. A discrepancy moves it to needs review with a concrete reason. Quote Specialist follows unresolved operational work, while Auditor checks that the result explains the affected revision and any recorded external effect.

    • Record Completed or needs review with evidence or a discrepancy
    • Updates Operation receipts

Where it usually breaks

And how to keep it from happening.

  • Erased history. Accepted work needs a traceable compensating action that keeps the original commercial and operation evidence.
  • Unexplained completion. A receipt's claimed outcome needs supporting effects and the appropriate quote revision.
  • Accidental replay. Reconciliation must examine recorded evidence without resending the protected business action.
