What you can do
Start with the right customer and organization
A solar proposal begins with a customer who can receive an offer from the selling organization. App Administrator maintains the customer name, code, contact and address, along with the eligibility note. Quote Specialist uses that customer record when preparing the quote so the commercial relationship remains clear through review and acceptance.
The quote also identifies its owner and organization. Team membership connects the responsible person to a user account and organization. This gives the team a defined scope for working on quotes, reading evidence and following pending actions. Operations Overview brings the authorized quote pipeline and design demand into the daily discussion.
How the work is organized
- Selling organization. App Administrator maintains the organization’s identity, active state, time zone and currency. The team agrees which organization is responsible for the proposal before entering its commercial details.
- Eligible customer. The customer record carries its own organization link and eligibility note. Quote Specialist checks that context before using the customer as the counterparty on a quote.
- Responsible owner. The owner is a team member linked to a user account. That connection supports the specialist’s personal quote list and makes it clear who should resolve a question about scope or validity.
What to agree during setup
Agree how customers are identified when a business serves the same customer through several organizations. A shared trading name does not answer which selling organization owns a proposal. Use customer codes and organization membership consistently so the specialist can select the intended record without relying on memory.
Decide who maintains eligibility notes and who resolves a request to quote an inactive customer. App Administrator owns those master records, while Pricing Reviewer remains responsible for the commercial decision. Confirm the user’s team-member link before relying on My Quotes for daily work.
Agree how organization time zones affect the team’s interpretation of quote validity dates. Keep the USD quote amounts clear in discussions with teams that operate in another organization currency. Any presentation or accounting conversion should follow the agreed currency setup and its effective-rate source.
Check the handoff on an actual case
Prepare a customer for a rooftop installation under the organization that will issue the offer. App Administrator verifies the contact, address and eligibility note. Quote Specialist creates a Draft quote, chooses that customer and assigns their own team-member identity as owner. Ask the specialist to locate it through My Quotes and explain who can review it.
Next, try selecting a customer belonging to a different organization in the scoped operating flow. The request should be refused until the customer and quote scope agree. Repeat the access rehearsal with a user from the other organization and confirm that the quote and its evidence remain within authorized access. Resolve membership errors at setup rather than passing another person’s login between team members.
