What you can do

Know which organization is making the offer

A telecom quote needs a clear seller, buyer and internal owner before anyone reviews its equipment or price. App Administrator maintains the selling organization and its eligible customers. Quote Specialist selects the customer for the quote and confirms that the assigned owner belongs to the team responsible for that organization.

Consider a distributor whose regional teams sell to the same customer group. A familiar customer name alone cannot establish which selling organization should own the offer. The customer code, organization and eligibility note help the team identify the correct buying party before preparing the equipment lines.

How the work is organized

  • Selling organization. Keep its name, code, active state, currency and time zone clear. These values provide the operating context for the customer and team records associated with it.
  • Customer eligibility. Record the buyer’s contact, address and eligibility note. An active customer gives Quote Specialist an identifiable party to use when preparing the commercial offer.
  • Team responsibility. Maintain each team member’s organization, role name and linked user account. Quote ownership and reviewer attribution depend on the person behind the signed-in account.

What to agree during setup

Agree who can create or change customer records and what the eligibility note should explain. A note might identify the reviewed buying entity or a restriction that the team needs to resolve before quoting. Keep the wording useful to the person preparing the offer rather than relying on a customer name that may be shared across branches.

Define how the team’s organization access is established and reviewed. App Administrator maintains configuration; Pricing Reviewer still needs the separate authority required for a commercial decision. Do not treat responsibility for membership as permission to approve a quote. Also agree the time zone used when interpreting quote validity and decision dates across regions.

Check the handoff on an actual case

Use a network equipment quote for a customer with similar names in different regional operations. App Administrator confirms the intended customer code, selling organization and contact details. Quote Specialist selects that buyer and checks the eligibility note before preparing the quote. The owner should be identifiable as a member of the responsible team.

Repeat the rehearsal with an inactive customer and with a customer belonging to a different organization. Resolve the mismatch before pricing or review. Ask Pricing Reviewer to open the draft quote and identify the selling organization and preparer without consulting a separate message.

Finish by checking access from an account outside the authorized organization. The team should be able to explain why that account cannot inspect the quote or its evidence. This makes organization responsibility part of the operating handoff instead of a detail discovered after an offer has been accepted.

What your team sees

  • Active Customers — Active customer records with eligibility notes, contact details and organization context for quote preparation.
  • Active Team Members — Active membership and user links for configuration and access review.
