What you can do
Make the price explainable from its lines
Quote Specialist prepares hardware and license items beneath a draft quote. Each line carries a product code, quantity and USD unit price, along with the USD discount and unit cost. Pricing calculates the line value from quantity multiplied by unit price, less the discount entered for that line, then totals the quote.
For example, equipment quantity 4 at a unit price of $1,250 with a $200 line discount gives a net line value of $4,800. A separate license line of $600 brings the quote total to $5,400. The discount is subtracted from the extended line value once; the preparer should confirm that meaning before importing prices.
How the work is organized
- Quote identity. Keep the quote number, subject, customer and owner together. The validity date tells the reviewer which commercial window applies to the offer being prepared.
- Pricing basis. Record the price-book revision used for preparation and send the expected quote revision when pricing. This lets the review refer to an identifiable price basis and version of the work.
- Line calculation. Validate the line values before committing the calculated amounts. Successful draft pricing writes the net line values, totals the parent quote and moves it into Review.
What to agree during setup
Agree where authoritative product codes and unit prices come from. The price-book revision identifies the source basis used by the team; a connection to that source needs its own setup. Decide how line discounts are entered and how the team checks imported quantities before pricing.
Keep USD quote amounts clear when the selling organization’s reference currency differs. Agree any currency conversion requirements separately, including the source rate and who checks the converted amount. Confirm that imported prices and discounts use the currency expected by the calculation. Unit cost is available for commercial analysis, while the decision policy determines how the reviewer uses it.
Check the handoff on an actual case
Prepare the equipment and license example on a draft quote with a named price-book revision. Quote Specialist checks the product codes, quantities and line discounts, then requests pricing for the current quote revision. Pricing Reviewer should be able to reproduce the resulting amounts from the line detail.
Next, have another authorized preparer change the draft before the original pricing request is submitted. The earlier pricing request must not overwrite the newer work. Repeat with an invalid line value and confirm that the quote does not arrive in review carrying a partially priced set of lines.
Review the license term in the related network configuration as part of the commercial handoff. Confirm that the explicit license price covers the period being offered. The preparer and reviewer should be able to explain that amount from the agreed price source.
