What you can do

Review the offer the customer will actually receive

Pricing Reviewer examines a priced quote revision independently of its preparer. The decision identifies the source revision, reviewer and reason, allowing the team to understand which version was approved, rejected or returned. Quote Specialist then records customer acceptance against an eligible approved revision within its validity period.

A buyer may accept the equipment offer while a revised license amount is still being discussed. The team must identify which revision the buyer accepted. An approval on the earlier amount cannot silently authorize the later offer, and a customer response received after expiry needs the agreed commercial follow-up.

How the work is organized

  • Independent decision. Pricing Reviewer decides the eligible revision without taking over unrestricted quote editing. Approve, Reject and Return express different outcomes and retain the reason for the decision.
  • Validity and revision. Check the quote’s current revision and validity before deciding or recording acceptance. A stale request must not apply a decision to work the reviewer has not examined.
  • Customer acceptance. Quote Specialist records acceptance separately from internal approval. Accepted identifies the commercial outcome and retains the acceptance date for the downstream handoff.

What to agree during setup

Agree what supporting evidence the reviewer needs for the quote and how the team establishes independence. The preparer and reviewer must be different people for the independent decision. Administrative membership rights do not replace the required reviewer authority.

Define what counts as customer acceptance and where its supporting evidence is attached. Agree how the validity boundary is interpreted across the organization’s time zone and the customer’s location. The team should also decide how a Return decision is communicated to the preparer, so the correction is clear before a new revision is submitted for review.

Check the handoff on an actual case

Price an equipment and license offer, then have Pricing Reviewer examine its current lines and validity. Record an approval with a meaningful reason. Quote Specialist confirms the customer response against that same revision and records acceptance while the offer is eligible.

Repeat with a quote that has expired and with a quote changed after approval. Neither attempt should produce an accepted offer based on an outdated decision. Retry the original approval submission and verify that it returns the recorded decision without adding a conflicting decision.

Also rehearse a Return outcome. Quote Specialist should be able to find the reviewer’s reason, prepare the correction through the agreed return procedure and request a fresh decision. Preserve the earlier review so Auditor can explain why the final offer differs from the original submission. The useful result is a clear chain from priced revision to decision to customer acceptance.
