What you can do
Give each request its own case
Operations Manager opens an application for a named applicant and organization. The record carries a case number, purpose, requested date and amount, status, revision and assigned person. This is the working case for preparation, independent decision and provider follow-up. A fresh request from the same applicant belongs in a new application so earlier decisions and confirmations remain intelligible.
A concrete intake might be an applicant seeking a credit line for inventory purchases. The preparer records the purpose and amount, attaches the supporting document, and assigns the case to a person in the organization. Before sending it to review, they check that the applicant and requested amount match the material the reviewer will see. A later correction changes the revision so the decision can identify the version that was actually considered.
How the work is organized
- Case. Applications keeps the request, current status, revision, provider instruction reference and confirmation dates.
- Documents. record attachments keeps titled files, upload identity and visibility with the application.
- Assignment. The linked People record identifies who is responsible for preparing the case.
What to agree during setup
Agree which information must be complete before review: purpose, amount, applicant, organization, assigned person and the supporting material. Decide how internal and shared attachments will be handled. Keep the record number stable across a correction; use the revision to show what changed. Define when a case is ready for the reviewer and what the preparer does if a reviewer refers it back.
The case status gives the team a common queue, but the decision belongs in its own record. Staff should avoid treating a changed status as a substitute for a reviewer decision. Agree how the provider instruction reference will be captured and who verifies confirmation evidence. That keeps a submitted application distinguishable from one whose provider effect has been checked.
Check the handoff on an actual case
Take a draft request, attach its supporting file and assign an Operations Manager. Move it to review, then compare the case revision and requested amount with the material the Credit Reviewer receives. Correct the amount before a decision and confirm that the reviewer acts on the current revision. Follow a second case with the same applicant and verify that its record number, attachments and later decision are distinct.
