Reconcile receipts and evidence

Compare a declared action result with its source revision and saved effects before confirming completion.

Step by step

  1. Select the parent opportunity Sales Manager

Sales Manager identifies the customer work whose operation receipts need checking. Start with the saved records and their evidence. Relationship Owner can explain the intended request, but that explanation should be checked against the retained result.

    • Reconciliation scope is identified
    • Updates Opportunities, Operation receipts
  2. Gather local evidence Sales Manager

The reconciliation action reads linked activities, decisions and effect references for each receipt. Verify the submitting actor and operation key before applying a reconciliation result. Keep unrelated customer work outside the selected scope.

    • Linked evidence supports the read-first comparison
    • Updates Relationship activities, Review decisions, Record attachments, Operation receipts
  3. Compare revision and effect Sales Manager

Sales Manager reviews whether the receipt's declared revision matches the effect that genuinely exists. A successful request response is insufficient when the saved record differs from the declared result or the relevant evidence cannot be found.

    • Declared revision is compared with the actual local effect
    • Updates Opportunities, Operation receipts
  4. Record the supported result Sales Manager

Matching local evidence permits a Completed result. A discrepancy remains in the needs-review state with its explanation. This is an evidence check rather than a new commercial approval decision, and it does not replace downstream confirmation for a pending compensation.

    • Matching evidence allows Completed; discrepancies remain needs review
    • Updates Operation receipts
  5. Retain the reconciliation summary Sales Manager

The action writes one summary receipt per parent under its operation-key rule. Sales Manager follows up exceptions, while Auditor can trace the original request and the reconciliation without losing either history.

    • A parent summary records the reconciliation result
    • Updates Operation receipts

Where it usually breaks

And how to keep it from happening.

  • The receipt declares an older revision than the effect being inspected. Record the discrepancy instead of accepting a similar-looking result.
  • A retry creates another summary or customer effect. Use the original operation identity and inspect the retained result.
  • Local evidence is treated as external confirmation. Keep the downstream responsibility explicit for executed-scope corrections.
