Review proposal and customer outcome

Keep proposal authorization and final customer closure tied to independently reviewed evidence and an exact revision.

Step by step

  1. Prepare proposal scope Relationship Owner

Relationship Owner gathers the proposal evidence and next customer activity for the current Qualified opportunity. Identify the intended scope clearly before asking Sales Manager to decide. The supporting files and conversation should refer to the same customer request.

    • Current proposal evidence and next activity are prepared
    • Updates Opportunities, Record attachments, Relationship activities
  2. Review the proposal Sales Manager

Sales Manager independently approves eligible scope against its frozen revision. The guarded action retains a decision and operation result before advancing the opportunity to Proposal. A changed revision needs a fresh review rather than a reused decision.

    • Reviewed scope advances to Proposal
    • Updates Opportunities, Review decisions, Operation receipts
ApprovalA person approves before the work moves on.
  3. Record actual negotiation Relationship Owner

Relationship Owner records the customer discussion when negotiation really starts. Keep an opportunity in Proposal until that event occurs. The next activity should explain what the customer is considering and which response the owner owes them.

    • Negotiation reflects an actual customer discussion
    • Updates Opportunities, Relationship activities
  4. Submit customer outcome evidence Relationship Owner

Relationship Owner gathers verified acceptance or loss evidence for the current scope. Preserve the expected value and earlier activities when preparing closure. Customer delivery or service execution follows its own agreed handoff.

    • Verified acceptance or loss evidence supports closure
    • Updates Opportunities, Record attachments, Relationship activities
  5. Confirm the outcome Sales Manager

Sales Manager independently verifies the eligible revision and authorizes Won with its date or Lost with its reason. Check the saved outcome and decision history before treating the opportunity as closed.

    • Eligible scope closes as Won or Lost with retained evidence
    • Updates Opportunities, Review decisions, Operation receipts
ApprovalA person approves before the work moves on.

Where it usually breaks

And how to keep it from happening.

  • The reviewer sees an older proposal than the one the customer considered. Compare the revision and evidence before deciding.
  • Submission is treated as the start of negotiation. Record the actual customer event before changing that stage.
  • A Lost outcome lacks a useful reason. Retain the explanation so a later pipeline review can understand the result.
