Review a test-drive request

Prepare a customer-linked vehicle request, review its current scope and retain the decision before the visit proceeds.

Step by step

  1. Identify the visit Relationship Owner

Relationship Owner creates a Draft test-drive request linked to the customer opportunity and dealership organization. Select the intended VIN and start time. Confirm the customer's request before coordinating the vehicle through the dealership's operating procedure.

    • Draft request identifies customer context and vehicle
    • Updates Test drives, Opportunities, Organizations
  2. Prepare verification context Relationship Owner

Relationship Owner records the license-verification indicator and the relevant odometer reading. Check vehicle availability through the agreed source. Resolve any question about the vehicle or driver before presenting the request for a decision.

    • Updates Test drives, Relationship activities
  3. Submit the current request Relationship Owner

Relationship Owner moves the prepared scope from Draft to Submitted through the guarded action. Use the current request revision and a stable operation key so the result can be traced after submission.

    • Current Draft scope is submitted for review
    • Updates Test drives, Operation receipts
  4. Review independently Sales Manager

Sales Manager authorizes an eligible request as Approved or records Rejected. Check the exact vehicle and start time under review. An updated request needs another review; an older open screen must not authorize the changed scope.

    • Submitted scope receives an Approved or Rejected decision

    • Decision is communicated and later outcome recorded
    • Updates Test drives, Relationship activities

Where it usually breaks

And how to keep it from happening.

  • The VIN changes after the manager starts reviewing. Refresh the request and obtain a decision on the current revision.
  • Staff assume an approved request proves the vehicle is available. Confirm availability through the responsible system or operating owner.
  • Approval is recorded as completion. Wait for the actual visit outcome before applying the completion procedure.
