AccountsThe company record everything else hangs off: hierarchy, sites, ownership by territory, the account team and the yearly plan for the accounts that matter most. ContactsThe people at each account: who they are, who they report to, the part they play in a purchase, and whether you may contact them. PipelineLeads in, opportunities through the stages, a next step with a date on every deal, and a history that shows how each one really moved. QuotesPriced proposals built from a price book, versioned as the deal moves, and approved by the right person whenever a rep goes past their authority.
ActivitiesEvery call, meeting, email, demo, task and note, logged against the account and the deal, synced from mail and calendar, and rolled up into the fields managers sort on. RenewalsThe contract a won deal becomes, the notice deadline and lead time on it, the renewal opportunity the system opens in time, and the expansion sold on top. ForecastForecast categories on every deal, a quota per rep per period, a weekly submission with commit and best case, and a manager review that is kept alongside it.

Processes

Lead to dealFrom a lead arriving to a signed contract handed to customer success: routing, qualification, acceptance, proposal, negotiation, the bookings check and the handover, with the gates where a person decides. Quote approvalHow a priced proposal gets from a rep's draft to the customer's inbox: the rules that decide who must approve, the steps in sequence, and what happens on rejection, revision and expiry. Forecast cycleThe weekly rhythm: reps categorise every open deal and submit, managers review and adjust on the record, and the period locks so the forecast can be checked against what closed.
RenewalFrom a contract's notice deadline to the next contract signed: the opportunity the system opens, the risk call, the renewal quote and approval, and what happens when the customer says no. Territory realignmentChanging who owns which accounts without losing deals in flight: modelling the new rules, approving the moves, applying them in bulk, handing over open deals, and checking nothing was orphaned.

Keys and references

Every record has an immutable identifier and, on transaction tables, a human number (LEAD-0001, OPP-2041, QUO-2041-3, CON-0310, RA-0007) from a configurable sequence. References are by identifier, so renaming an account or renumbering never breaks history. Stage is a reference to the pipeline stage table, so stage renames and reordering do not rewrite deals. The buying role of a contact on a deal lives on the opportunity contact row; consent lives on the contact.

Every transaction table carries a Status select, a number column, and the dates the screens draw from. Opportunities carry created and close dates; quotes carry quote and validity dates; activities carry a due date and start and end times. Contracts carry start and end dates and the notice deadline; forecasts carry period and week-ending dates; realignments carry an effective date.

Amounts are stored in the currency of the record: the account’s currency on deals, quotes and contracts, the rep’s on quotas and forecasts. The exchange rate table converts between them at the corporate rate for reporting and at the period rate for the forecast.

Migration order

  1. 1 Users without a territory, then territories and territory rules with an effective-from date, then the territory set on each user
  2. 2 Pipeline stages with their type, lead sources, campaigns, competitors, products, price books and entries, exchange rates and approval thresholds
  3. 3 Accounts with their default price book, then account sites, then contacts with reports-to and consent
  4. 4 Account team members and account plans
  5. 5 Open leads in their current status, with their campaign and matched account
  6. 6 Open opportunities with their contacts, products and, where the old system has it, stage history. Preserve source timestamps and identify imported records; do not infer historical approvals from the current stage
  7. 7 Quotes on open deals with lines and approval state
  8. 8 Contracts and contract lines for current customers, with the source quote, end date, notice deadline and renewal lead time
  9. 9 Activities for the last period the team wants to see, newest first
  10. 10 Published quotas with their basis and currency, then historical ForecastSubmissions headers before their ForecastSubmissionLines where the source contains genuine submissions. Preserve week, period, applied rates and review evidence. Keep incomplete field-change history in its source archive rather than creating unsupported forecast snapshots
