What you can do
Give the next conversation an owner
Relationship activities keep customer outreach tied to the opportunity it concerns. A subject explains the action, while the type identifies a Call, Meeting, Email or Task. The owner and due date help the team see who needs to follow through and when the work should be reviewed.
Open, Completed and Cancelled describe the activity’s progress. Completion can retain a date and outcome so the next Account Manager or Retention Specialist understands what happened. The opportunity’s next step gives broader commercial context, while each activity records a specific piece of relationship work.
How the work is organized
- Prepare a clear action. Link the activity to the correct opportunity and organization. Choose a subject that identifies the customer conversation or task, then assign an owner and due date when the team has agreed them.
- Use the activity history. Qualification and proposal submission create activity records that help explain commercial progression. Add other calls, meetings or tasks as the relationship develops through the team’s operating process.
- Record the outcome. When the work is confirmed, record the completion date and what the conversation established. Cancel an activity explicitly when it is no longer needed so an old request is not mistaken for an outstanding commitment.
What to agree during setup
Agree how the team assigns activity ownership and interprets due dates across its operating time zones. Decide what a useful outcome contains and which details belong in supporting material instead. Keep the recorded description understandable to another authorized colleague taking over the relationship.
Choose how actual customer calls, meetings and email delivery are handled. The activity record explains that work but should be read with the team’s communication evidence. For retention contact, agree how the activity relates to the approved follow-up plan and who confirms that the planned contact has been completed.
Check the handoff on an actual case
Take a qualified opportunity whose buyer needs an answer about a product option. The Account Manager creates an Open activity with an owner, due date and clear subject. After the conversation, record its outcome and completion date, then update the opportunity’s next step to reflect what the customer now expects.
Prepare a separate retention activity linked to the same opportunity after its closing outcome. Have the Retention Specialist find the approved plan and explain how the activity supports its purpose. Cancel an obsolete activity during the rehearsal and confirm that it remains distinct from Completed work. The next team member should be able to identify both the finished conversation and any outstanding action without reconstructing them from the opportunity status alone.
What your team sees
