Close outcome and handoff

Record the customer's commercial outcome and prepare the context needed for the next relationship conversation.

Step by step

  1. Review the open conversation Account Manager

The Account Manager checks the current opportunity, primary contact and next step. Record Negotiation progress when that describes the customer discussion and retain the commercial evidence needed to explain the result.

    • Establish the current discussion and supporting evidence
    • Updates Opportunities, Relationship activities, Record attachments
  2. Record the closing outcome Account Manager

The Account Manager supplies Won or Lost and the reason to Close Outcome. Inspect the resulting opportunity state and operation receipt. A recorded win identifies the commercial outcome; payment and fulfillment remain in the customer's chosen operating systems.

    • Record Won or Lost with the outcome and reason entered by the Account Manager
    • Updates Opportunities, Operation receipts
  3. Prepare the relationship handoff Account Manager

The Account Manager makes the customer context available to the Retention Specialist. Keep the account, opportunity and relevant supporting references clear so the next conversation starts from the recorded outcome.

    • Preserve the relationship context for authorized follow-up
    • Updates Accounts, Contacts, Opportunities, Record attachments
  4. Draft the retention purpose Retention Specialist

The Retention Specialist prepares a follow-up with an owner, customer context and contact date. Add an order reference and units ordered where those details have been confirmed through the team's order process, then continue to review.

    • Prepare a Draft contact plan linked to the opportunity
    • Updates Retention follow ups, Opportunities, Accounts

Where it usually breaks

And how to keep it from happening.

  • The outcome has no understandable reason. Record enough context for the next owner to explain the customer's decision.
  • A win is read as a completed transaction. Obtain order or payment evidence from the system that owns those events.
  • The retention plan starts with an uncertain reference. Confirm which order the customer conversation concerns before submitting the plan.
