What you can do

Donor pledges and review

A donor pledge is recorded against a funding opportunity, with a pledge reference, purpose, gift amount, donor text and owner where available. It has its own status: Draft, Submitted, Approved, Rejected or Completed. That status is separate from the opportunity’s pipeline state. Submitted status triggers the pledge review workflow. It records an independent decision, approves the pledge and writes an operation receipt. Review decisions keeps the reviewer, source revision, date and reason linked to the opportunity and, where applicable, the pledge.

How the work is organized

  • Record the pledge independently. The pledge remains a separate record from the funding opportunity and can carry its own account and owner.
  • Submit for a decision. Submitting the pledge triggers its review workflow after the reviewer has checked the case.
  • Keep the decision trace. review decisions and operation receipts let the team inspect the reviewer and recorded operation after the status changes.

What to agree during setup

Name the people who prepare pledges and those who review them. Require the team to compare reviewer and pledge owner before submission; test that configured access prevents self-review. Agree which source revision the reviewer sees, what reason should accompany a decision and how attachments are linked. Rehearse a pledge with an opportunity, account and gift amount so the reviewer can verify all three before acting. Retain the decision record when pledge details need correction.

Check the handoff on an actual case

A corporate funder commits a gift toward an existing opportunity. The pledge coordinator records the amount, purpose and reference, and asks the independent reviewer to check the opportunity, donor context and supporting attachment. The coordinator then submits the pledge. The review workflow records the decision against the source revision, changes the pledge from Submitted to Approved and writes an operation receipt. The director later reads the pledge, decision and receipt together. If the gift amount is disputed, the team inspects the source revision and reason before changing the current record.

The team should open the parent opportunity before treating this screen as a complete account of the case. Compare its owner, constituent and current status with the linked records, and resolve any disagreement while the conversation is still recent.

The pledge register is also useful after an opportunity is closed. It shows whether the pledge itself is still Approved or has reached Completed. Compare that state with the independent decision and attachment reference before sharing a funding summary with another team member.

What your team sees

  • Pledges awaiting review — Submitted pledges with owner, purpose, amount and parent opportunity.
  • Donor pledge register — Pledges across their own decision states.
  • Pledge decisions — Reviewer, decision date, reason and source revision for each review.
