What you can do
Record the visit against the opportunity
A sample visit belongs to an opportunity and has a named owner. The representative can also link the healthcare account. The visit record holds practitioner, visit date, sample quantity, lot number and purpose. Staff move its status from Draft to Submitted, then record the review decision and update the visit status by hand. An approved visit can later be marked Completed. Because the opportunity already links to the account, the visit can be read in the context of the commercial conversation that led to it.
How the work is organized
- Preparation. Create the visit under the correct opportunity and identify the owner before recording the field details.
- Visit detail. Enter practitioner, visit date, quantity, lot number and purpose after the field interaction.
- Review. Submit the visit with its supporting record so the reviewer can make an explicit decision.
What to agree during setup
The team needs a consistent way to describe the practitioner and purpose of a visit. Agree who enters quantity and lot number, and when those values are checked before submission. The visit can carry both an account link and an opportunity link. Confirm that both refer to the same healthcare relationship during rehearsal. Decide which attachments should accompany a visit and who may see them. The attachment record can hold a title, kind, capture date, notes and a URL, with the visit as its field-visit reference.
Agree how a returned or rejected visit is handled. The visit status offers Rejected, while the decision record offers Approve, Reject and Return. A reviewer should write a reason that helps the representative correct the record. The team should define who moves an approved visit to Completed after the field work and review are finished.
Check the handoff on an actual case
A representative visits a practitioner at a clinic tied to an open opportunity. The representative creates the visit under the opportunity, records the practitioner, date, quantity and lot number, and saves the purpose. An attachment can carry a supporting document reference and notes. The representative submits the visit. The reviewer opens Submitted Sample Visits, checks the account and opportunity context, reads the quantity and lot information, then records a decision with their name, date and reason. The reviewer updates the visit to Approved or Rejected after recording that decision. The representative can then continue the record accordingly.
In rehearsal, include a visit whose lot number needs correction. Confirm that the reviewer can identify the issue, record a Return or Reject decision, and that the representative can find the visit and its evidence again. Then rehearse an approved case through Completed. The important handoff is a decision tied to the exact visit, not a verbal response in a separate channel.
