How a Photography CRM rollout works

A practical sequence for configuring and rehearsing the studio workflow.

  1. Customer records

Confirm the account and contact matching rules, then load representative active customers.

  2. Products and pricing

Select the relevant photography product families, set active products and a price book, and check offered unit prices.

  3. Inquiry and opportunity work

Assign owners, agree qualification outcomes and review the Booking Pipeline board with the studio manager.

  4. Offer and booking decisions

Configure who submits and approves quotes and bookings, then rehearse a changed price and a credit hold.

  5. Delivery and invoice review

Follow an approved order through its booking items, any shipment, and the linked invoice.

What the customer provides

Bring a real inquiry, a repeat customer, the people who work each decision, a current product list, price rules and a sample accepted offer. Include a delayed case and a declined case. The team should agree how it identifies a customer, what counts as an approved price and who owns each next action.

Changing it afterwards

Review the first operating cycle with Photographer, Sales Coordinator, Studio Manager and Finance Manager. Compare the source inquiry, accepted quote revision, approved booking and invoice. Correct the configuration with those owners, then expand to more customers and product families.
