What you can do
Give each opportunity a defensible next step
A sales opportunity holds the commercial subject, customer account, Relationship Owner and expected close date. Expected value is recorded in USD, with a probability where the team uses one. Its stage describes the commercial conversation: New, Qualified, Proposal or Negotiation while work is open, then Won or Lost when the customer outcome is verified.
The Relationship Owner prepares the work. Qualification needs existing evidence, and proposal submission carries the scope and next activity into review. A Sales Manager independently checks the relevant revision before the protected commercial decision. Negotiation begins when the customer is actually negotiating. Sending a proposal alone should leave the opportunity at Proposal.
How the work is organized
- Qualification evidence. Record the customer’s need and the result of the qualifying conversation against the opportunity. The owner requests qualification against the current revision. Keep the resulting activity evidence and action receipt available for the next person who assesses the deal.
- Proposal scope. Explain what the customer is considering and record the next activity before requesting review. The Sales Manager checks the scope independently. If the owner changes it while review is underway, the manager must assess the changed work before the team treats it as approved.
- Customer outcome. Support a win with verified acceptance and a win date. Support a loss with its reason. Keep the earlier expected value and conversation history available so the outcome can be compared with what the team previously expected.
What to agree during setup
Agree what counts as sufficient qualification evidence for your sales motion. A discovery meeting may establish a buying need, while a general inquiry may need more work. Define the acceptance evidence the Sales Manager needs before authorizing a win and the explanation required for a loss. The owner should know these requirements before making the request.
Choose how the team maintains probability and expected value. These are commercial estimates used in pipeline review. Agree when they are refreshed and who challenges an old expected close date. Keep the estimated opportunity value separate from the recurring monthly value used in a subscription review, since those figures describe different parts of the relationship.
Check the handoff on an actual case
Consider Cedar Analytics evaluating a team subscription. The Relationship Owner opens the opportunity as New, records a discovery meeting and requests qualification. After the evidence is checked, the opportunity becomes Qualified. The owner prepares proposal scope and a follow-up task, then asks the Sales Manager for independent review. The approved proposal moves to Proposal.
If Cedar asks to revise the commercial scope, record that discussion before moving into Negotiation. When acceptance arrives, submit the evidence against the current revision. The Sales Manager approves the outcome and the win date is retained. Repeat the case with a loss: record the customer’s explanation and confirm that the earlier estimate and activities remain available. Neither path should erase how the opportunity reached its result.
