What you can do
Put the renewal discussion beside the relationship
A subscription review links a subscription identifier to an opportunity and organization. It records the renewal date, recurring monthly value and seat usage that the team wants to discuss. The Relationship Owner uses this context to prepare the renewal-risk review and explain what needs a Sales Manager’s decision. The opportunity retains the surrounding commercial conversation and evidence.
A review starts as Draft and moves to Submitted when it is ready for independent assessment. The Sales Manager can approve or reject the request, with the decision reason kept in the review evidence. Completed means the declared work has reached its verified effect. Approval and completion answer different questions, so the owner follows the action result after the decision.
How the work is organized
- Renewal preparation. Confirm the subscription identifier and renewal date against the customer’s subscription system. Record the recurring monthly value and seat usage used in the discussion. Explain the customer’s concern in the linked opportunity evidence before submitting the review.
- Independent assessment. Give the Sales Manager the current revision and supporting facts. The manager decides whether the requested renewal-risk action is acceptable. A rejection or returned decision must leave a clear reason that the owner can use to prepare the next discussion.
- Value interpretation. Review recurring monthly values within an agreed currency basis. When a subscription has repeated review records, select the relevant review before adding values together. Seat usage helps frame the conversation and must be interpreted using the collection method agreed with the customer team.
What to agree during setup
Agree where the subscription identifier, renewal date and seat usage come from, and who checks them before submission. When fresh activity is needed after a sale closes, use an open renewal opportunity for the same customer account and attach the review there. Preserve the closed sale history. Billing and product usage systems can supply those facts through connections you configure. Decide how the team records the evidence behind a disputed renewal value or a seat count that needs explanation.
Choose the review record used for each subscription in a reporting cycle. A historical review remains useful evidence, but including it alongside the current review can double-count the same commercial value. Define the currency basis before comparing organizations. Agree the completion evidence for an approved renewal action so the Relationship Owner knows when it is safe to close the work.
Check the handoff on an actual case
Cedar Analytics has a renewal approaching and a concern about how many seats its team uses. The Relationship Owner confirms the subscription identifier, records the renewal date and updates the monthly value and seat usage for the review. A call outcome on the open renewal opportunity explains the customer’s concern. The owner submits the review for the Sales Manager’s assessment.
The manager checks the current revision and approves the requested action with a reason. The owner then checks the action evidence before treating the review as Completed. Repeat the rehearsal with conflicting usage information: the manager returns the decision with an explanation, and the owner gathers the required evidence. Also compare an earlier review for the same subscription. The report should make the chosen review clear before anyone totals recurring monthly values.
