What you can do
Know which customer and owner the work belongs to
A small sales team needs to recognize the customer behind each opportunity without searching through old messages. App Administrator maintains the account name, code, contact and address. The eligibility note explains any operating conditions the Relationship Owner should understand before progressing the sales discussion.
Each account belongs to an organization, and each opportunity names both the account and its owner. Team membership links the owner to a platform user and records the member’s active state. Sales Manager uses that context when checking whether a person can submit work and whether the proposed reviewer is independent of its preparation.
How the work is organized
- Account context. App Administrator keeps the account contact and eligibility note current. The code helps distinguish similarly named customers, while the address gives the team another practical check before preparing a proposal or follow-up promise.
- Assigned responsibility. Relationship Owner prepares the opportunity and its related activities. A clear owner lets the team identify who should answer the customer’s next question and who must supply evidence for a closing request.
- Operating scope. Organization membership defines which business records a person may act on. The organization also holds its time zone and currency settings, which the team considers when agreeing dates and interpreting commercial estimates.
What to agree during setup
Choose recognizable account codes and decide who maintains eligibility. Agree when an account or team member should be marked Yes for active work. If a person helps across different organizations, establish the permitted scope explicitly before assigning customer opportunities.
Separate operating setup from sales approval. App Administrator maintains accounts and membership; Admin manages technical user access. Sales Manager makes the independent decision on reviewed follow-ups and customer outcomes. A small team still needs an eligible reviewer who did not prepare the revision being decided. Agree how open opportunities will be reassigned when the responsible person changes, while retaining earlier activity and decision evidence.
Check the handoff on an actual case
Use a prospect requesting a service proposal from a local business. App Administrator confirms the account code, contact and eligibility note. Relationship Owner opens the opportunity and records the expected value and closing date against the correct account.
Ask another team member to identify the customer and responsible owner from the opportunity alone. Then try the same action using an inactive member or a member from another organization. Resolve the scope before the person prepares a follow-up or requests a decision. Finally, update the customer’s contact information and confirm that the account remains recognizable without rewriting the history of the sales discussion. Sales Manager should be able to explain both who prepared the work and who may independently decide it.
