What you can do

Keep the explanation with the opportunity

Customer work becomes easier to hand over when the evidence stays with the opportunity. Attachments retain a title, evidence type, upload responsibility and visibility choice. Relationship Owner can keep the proposal, customer response and completion support connected to the sales case they describe.

Review decisions identify who decided a submitted revision and why. Operation receipts record the action, expected revision and result, with effect references and a failure reason when something needs attention. Sales Manager can use those records to reconcile a disputed result, while Auditor follows the authorized history without editing it.

How the work is organized

  • Supporting files. Relationship Owner identifies the purpose of each attachment and marks it Internal or Shared. The title and evidence type should make the file understandable to the person reviewing the next customer action.
  • Decision evidence. Sales Manager records an Approve, Reject or Return decision with a reason against the submitted revision. Keep the decision connected to the specific commitment or customer outcome it supports through the recorded operation evidence.
  • Receipt inspection. Pending, failed and review-needed operations are compared with the local effects they claim. When an external reference is involved, the reviewer supplies the authoritative source result before the team accepts the claimed completion.

What to agree during setup

Agree useful evidence types and how the team checks attachment visibility before sharing. Test the actual file access path, especially if an external document connection supplies or delivers files. A label should reflect the intended audience and be backed by the access behavior the team rehearses.

For reconciliation, decide what constitutes a matching result for each operation and who retrieves an authoritative external response when required. Keep a correction separate from its original action. Unexecuted scope can be canceled through the authorized path; accepted or executed scope requires reviewer-approved compensation, with the original source identity and every earlier record retained.

Check the handoff on an actual case

Start with a completed follow-up whose receipt names a different revision from the submitted evidence. Sales Manager compares the commitment, decision and operation references. The discrepancy should remain visible with a specific reason rather than being marked complete because the customer appears satisfied.

Next, use a receipt that has an external reference. The reviewer obtains the authoritative result and compares it with the claimed effect before recording reconciliation. Request a correction to executed work and verify that it follows independent compensation approval without automatically reversing anything controlled by the external system. Ask Auditor to trace the original action and the correction together. The retained record should explain what happened, which decision authorized it and what still needs follow-up.

What your team sees

  • Operation Exceptions — Unresolved actions with revision, effect and discrepancy context.
  • Shared Customer Evidence — Opportunity files marked Shared with upload responsibility visible.
  • Decision History — The reasons and reviewers behind independent decisions.
