What you can do

Keep the customer promise distinct from the conversation

A customer discussion may produce a specific promise: return a revised proposal, answer an outstanding question or provide agreed supporting information. Relationship Owner records that promise as a follow-up commitment with a subject and due date against the opportunity. The estimated value provides additional context under the meaning the team agrees during setup.

The commitment has its own status and revision. Relationship Owner submits the revision with evidence, and the submitted content is frozen for independent review. Sales Manager records an Approve, Reject or Return decision. Completion depends on the approving decision and its linked operation evidence, with the decision and completion dates retained.

How the work is organized

  • A recognizable promise. The subject should identify what the customer expects. The due date gives the team a practical point for follow-up, and the parent opportunity shows which customer discussion produced the commitment.
  • A fixed review basis. Sales Manager decides the submitted revision independently of its preparer. If the work needs correction, the owner follows the returned or rejected path instead of changing content underneath the pending decision.
  • Evidence before completion. The team records completion only after the required approval and operation evidence have been retained. A commitment marked Completed explains that promised work; the opportunity still requires its own reviewed customer outcome.

What to agree during setup

Agree which customer promises belong in the commitment process and which remain ordinary activities. Define useful subject wording, how due dates are interpreted and what the estimated value represents. Keep that estimate separate from the opportunity’s expected USD value unless the business has agreed an explicit basis for comparison.

Decide what evidence Sales Manager needs to approve completion. A clear completion claim should identify the work delivered and the customer promise it fulfills. Agree how a Return will explain the needed correction and how the corrected revision will be submitted. Keep the original submitted content and review history available after changes.

Check the handoff on an actual case

Use a promise to return a revised service proposal by the agreed date. Relationship Owner records the commitment and prepares the supporting document on the opportunity. Submit the current commitment revision for Sales Manager to review.

Have the reviewer return the first submission because it answers only part of the customer’s request. Correct the work through the agreed path and submit the new revision. Approve that revision and verify its linked operation evidence before completion is recorded. Then attempt to complete the earlier revision or to edit the submitted content directly. Neither action should bypass review. Check that the completed promise has its decision and completion dates and that the parent opportunity has not become Won merely because the follow-up finished.

What your team sees

  • Follow-up Review Inbox — Submitted commitments waiting for an independent decision.
  • Due Commitments — Draft, submitted or approved promises whose due date has arrived.
  • Completed Follow-ups — Completed promises with their decision and completion dates.
