What you can do
Turn a customer commitment into work
The order joins the subscriber, contract, contact, sales owner and requested delivery date. Its lines specify the product, quantity, unit price, allocated quantity, shipped quantity and invoiced quantity. Fulfillment can be stock, make to order or drop ship. That choice affects who must prepare the goods, but the commercial order remains the common record for Sales Manager, Fulfillment Lead and Finance Clerk.
A submitted order is the review point. Sales Manager checks customer terms, total amount, delivery promise and any credit hold. Sales Manager records the human decision on the order and its review record. After the decision is recorded and the order is approved, Fulfillment Lead can allocate and pick the product. The order’s status makes the handoff visible without treating a shipment as proof of payment.
How the work is organized
- Order context. Keep the subscriber, contract and contact consistent with the cycle being served.
- Product lines. Review quantity and price before submitting the order for approval.
- Release decision. Review submitted work in the manager queue and record the decision before fulfillment begins.
What to agree during setup
Agree the amount or exception conditions that require Sales Manager review, who owns credit holds and how a requested delivery date becomes a promise. Define what the team does if the product or quantity changes after approval. Finance Clerk should confirm currency and tax setup before the first billed order. Fulfillment Lead should know which warehouse is responsible for stock orders and who owns make to order work.
Check the handoff on an actual case
A monthly cycle calls for a subscriber’s selected product. Sales Rep creates the order with its delivery date and checks the product line. The manager opens the submitted order, compares the amount with the contract and approves it. Fulfillment Lead then sees the approved order in the work queue, allocates the lines and prepares the shipment. Finance Clerk can later match the invoice to the same order. If the customer cancels before dispatch, the team records the cancellation on the order and reviews any cycle billing progress.
The manager should be able to explain which order revision was approved. When the credit position calls for review, Sales Manager records the credit decision before release.
