Email template approval

Retain the manager\u2019s decision on reusable content and distinguish approved copy from a completed email send.

Step by step

  1. Prepare the template Marketing Manager

Marketing Manager prepares a Draft with its author, sender and message content. Check the subject, body and postal address together. Add preview text and a reply address where used. Agree editing responsibilities with Marketing Operations before assigning preparation work.

    • Updates Email templates, Users
  2. Submit the content Marketing Manager

Marketing Manager coordinates submission through the template approval lifecycle. The asset moves from Draft to under review, retaining the submitting user. Review the exact version the program will reference, including the sender identity and response route.

    • Draft to in review
    • Updates Email templates
  3. Approve the message Marketing Manager

Marketing Manager approves the reviewed content. The lifecycle moves it to Approved and records the deciding user and time. If the wording needs more work, agree the correction with the author before approving. Use the recorded lifecycle decision when checking the asset later.

  5. Inspect the sending result Marketing Operations

Marketing Operations follows the email action into the member's execution history. Set up the sending service connection and check its outcome for the same member. Investigate an error before continuing the journey, retaining the content reference during the investigation.

Where it usually breaks

And how to keep it from happening.

  • A similarly named template is selected without checking the approved version.
  • A status edit is used in place of the manager's recorded decision.
  • The team continues after an email error without inspecting the provider result.
  • Editing responsibilities are assigned before the operating account has been tested.
