How a Dental Practice Management rollout works
Start with a dental visit cycle that the coordinator and clinicians can explain together.
Agree the practice boundary
Choose an appointment session and representative follow-up work. Identify the source of patient identity, professional evidence and billing confirmation. Keep imaging, claims and detailed treatment planning in their separately agreed systems.
Map records and identities
Match patient number and source identifiers, resolve People.User, and review the Users self-reference provisioning behavior. Import patient and clinician references before visit evidence. Confirm a single-currency scope for financial amounts.
Configure working access
Keep the clinical roles' record permissions, assign account and receipt entry during setup, and prepare the working views and reports. Decide how Clinical Reviewer passes a decision to Clinical Coordinator without receiving general appointment edit access.
Agree the handoffs
Walk through admission, follow-up, billing, lab and dispensing with the staff who perform them. Record who makes each decision, which evidence they inspect and who records the resulting status. Rehearse each handoff before relying on recurring automation.
Rehearse the exceptions
Use an expired consent, Pending professional evidence, a rejected lab case and a repeated receipt reference. Check direct record permissions with ordinary users. Check that charges and tasks retain their own reviewed outcomes after a visit is completed.
Review the first operating cycle
Compare imported records with the source, inspect outstanding tasks and reconcile receipts separately from charges. Obtain practice-owner acceptance of the tested configuration and external handoffs before expanding the operating scope.
What the customer provides
- Patient identifiers, contact details and the source consent documents with their purposes and versions.
- Clinician identities, verification evidence and effective care assignments.
- A representative appointment session with attributed notes and measurements.
- Lab case references, dispensing evidence and the systems that own external results.
- Service charge descriptions, receipt references, the operating currency and outstanding follow-up tasks.
- The intended access policy and the practical method for recording a reviewer’s decision.
Changing it afterwards
Use Proto to prepare a specific change for review. Compare the affected fields and access rules with the existing patient and visit references. Rehearse the changed behavior with the same exception cases before enabling it. If the practice later adds invoice matching or new clinical documents, agree ownership and rehearse the affected patient and visit links before release.
