Lab and dispensation evidence

Capture visit-linked specialty evidence while keeping external handoffs explicit.

Step by step

  1. Identify the visit Licensed Clinician

Licensed Clinician opens the intended Appointments record and confirms its Patient reference before capturing specialty evidence. Resolve a similar patient name or repeated visit description before creating another record. Both lab cases and prescription dispensations link to Appointment, so an incorrect reference carries the evidence into the wrong visit context.

    • Intended visit context confirmed
    • Updates Appointments, Patients
  2. Process lab case Licensed Clinician

Licensed Clinician records case type and lab case number, then moves lab cases through Status: Ordered → Collected → Received → Tested as the corresponding information is established. Enter collected at from collection evidence. Rejected is an alternative outcome. When the case is marked Tested, obtain the result through the agreed laboratory handoff and bring it to the clinician for interpretation.

    • Case identification and processing state recorded
    • Updates Lab cases
  3. Record dispensation Licensed Clinician

Licensed Clinician records Medication, lot number, Quantity and Unit with Appointment and authorized by. Confirm that authorized by names the person supported by the actual authorization evidence. Compare the recorded medication, lot and quantity with the source dispensing evidence. Set up electronic prescribing separately if the practice uses it.

    • Dispensing evidence and authorizer recorded
    • Updates Prescription dispensations, People
  4. Inspect the handoff Clinical Reviewer

Clinical Reviewer reads the linked case and dispensation evidence alongside the appointment. Resolve an unexpected case reference or unexplained authorizer with Licensed Clinician before relying on it in appointment review. Clinical Reviewer communicates any question to Licensed Clinician before the visit review. Follow the separate visit-review process when a human outcome decision is required.

    • Evidence checked for the visit review
    • Updates Lab cases, Prescription dispensations, Appointments

Where it usually breaks

And how to keep it from happening.

  • A laboratory update is matched to a similar case description instead of its reference.
  • Rejected is treated as Tested because processing has stopped.
  • A quantity is combined with an entry using a different Unit.
  • The team assumes a recorded dispensation means the pharmacy received an order.
