Brand teams
Brand teams often produce several versions of the same campaign asset for different placements. A project gives the launch a schedule and owner. Each content item keeps its own title, content type, due date and publication state. File revisions and media versions preserve the exports that people actually review, while agreements and usage rights explain where and when a version may be used.
How Digital Asset Management is set up for you
Campaign planning
The Content Manager groups the image, video and copy items under the launch project, assigns owners and tracks the production tasks.
Version review
A Producer submits the rendition intended for release. The Editor can compare version labels, file type and checksum before the exact file revision is approved.
Rights decision
The Rights Manager checks the agreement for the item and the use interval for the rendition. The Editor publishes only after the parent item is approved.
Choose one campaign with a small set of assets and a known publication date. Give each item a clear owner and connect the tasks that produce its final export to the campaign project. Add the relevant rights agreement and a usage record for the version that will be used. Rehearse an approval and a publication, then check the published time and closed tasks.
The same pilot should include a corrected file revision. This makes it clear whether the review team can tell an older approved export from a newly uploaded one. It also gives the Rights Manager a real example of a version whose intended channel differs from another version's use.
After the first release, review the status distribution in Business Overview. The team can decide which drafts still belong in the campaign, which approved items are waiting for publication and which rights intervals need attention before reuse. Keep the project and item boundaries consistent so a later campaign can reuse the operating pattern without losing the history of the first one.
