What you can do
Explain the provider balance
A provider account snapshot holds a dated provider ledger amount, available amount and provider snapshot identifier for each financial account. A reconciliation item holds provider event identifiers, occurrence dates, amounts and match states. Together they let finance check the provider’s reported activity against confirmed instructions tied to that same account.
A movement is matched only when its amount and confirmed occurrence date agree exactly with an instruction linked to the account. Different amounts or dates remain unmatched or become exceptions. The team can investigate the discrepancy without forcing a plausible-looking match. A snapshot is a comparison point, while the underlying movement and execution evidence explain the change.
How the work is organized
- Source. Provider snapshots and source-identified movements enter by account.
- Match. Confirmed instructions provide the account, amount and dated evidence basis.
- Exception. Unmatched and exception items stay visible for investigation.
What to agree during setup
Choose the provider snapshot source and the account code mapping before importing an opening balance. Agree the sign convention for debit and credit instruction accounts and the provider’s occurrence-date time zone. Keep a stable provider event ID so a repeated file does not create another movement. Finance should know who resolves a provider correction and when a new snapshot supersedes an earlier one.
The reviewer needs enough evidence to distinguish a timing difference from a wrong amount. Review the actual confirmation or settlement event, not just the instruction’s requested amount. If the provider changes an event later, preserve the correction and recheck the affected reconciliation item.
Check the handoff on an actual case
A provider reports a movement on an active USD account. Its event ID, amount and occurrence date are entered as a reconciliation item. Finance finds a confirmed instruction whose account scope includes that account and whose verified event has the same amount and date. The item becomes matched. The next account snapshot provides a dated ledger balance for comparison with the prior snapshot and the signed confirmed movements.
In the adverse case, the provider event arrives one day later than the instruction’s confirmed date. Even if the amount matches, finance leaves the item unmatched or marks it as an exception. The reviewer investigates the source event and correction trail. A manual status change must not stand in for the exact-match check.
