What you can do
Follow the external result
An authorized instruction is ready for submission to its provider. The Operations Analyst needs a provider instruction identifier and a stable operation key for the attempt. Submission records that the request left the team; it is not a confirmation that the provider executed or settled it. The instruction can remain pending until evidence establishes the outcome.
The execution evidence record keeps provider statements, confirmations, settlement notices and corrections with an event identifier, occurrence date, amount, type and verified state. The team can attach multiple evidence lines to the same instruction without replacing an earlier statement. Only verified confirmation or settlement evidence supports the confirmed status.
How the work is organized
- Release. Authorized instructions are selected for the provider submission step.
- Waiting. Submitted and pending work stays visible until the provider result is known.
- Evidence. Verified events explain why an instruction was confirmed.
What to agree during setup
Name the owner of the provider connection and the authoritative source for external event identifiers. Determine how a repeat provider response is recognized, how a failed submission is investigated and which evidence types count as final confirmation. Agree the time zone used for occurrence dates and the procedure for a provider correction after an earlier statement.
A correction to authorized scope needs a controlled route. Do not infer that changing the local instruction reverses a provider effect. Keep verified events and review decisions intact, then compare the proposed correction with the provider’s actual state. The operation receipt holds the action, expected revision, external reference and effect references for this purpose.
Check the handoff on an actual case
An analyst submits an authorized provider instruction and records the provider identifier. The provider first acknowledges receipt. The team leaves the instruction pending while it waits for a settlement notice. The notice arrives with a source event ID, occurrence date and amount. Finance verifies it against the instruction and account scope, then confirms the instruction. A repeated provider response points to the same operation rather than creating a second provider request.
Now rehearse an adverse case: a provider statement shows a different amount. The team preserves that statement, investigates the discrepancy and keeps the instruction out of confirmed status until the final evidence supports it. If a correction is required, it follows its own reviewed scope; the original event remains available to the auditor.
