How a Document Management System rollout works
Set up a controlled document pilot and verify the handoffs.
Define control
Agree organizations, categories, numbering, classification, access policy and retention rules.
Assign people
Identify owners, independent reviewers, publication decision makers and follow-up assignees.
Prepare source links
Review field mappings and import a representative parent document with its source-linked versions.
Rehearse decisions
Run a return, correction, approval and publication with the actual roles and record the reasons.
Verify delivery
Check the external receipt, operation trace and reader access before expanding the scope.
What the customer provides
Provide the pilot documents and source IDs, the category policy references, active people and organization assignments, and the decision rules for review, publication and archive. Identify the source repository and publication destination if they are part of the operating process. Supply representative accounts for an access rehearsal, including a reader who should be denied a restricted document.
Changing it afterwards
A new category or access policy can change who may act on a document. Review its effective date and test the relevant roles again. Keep previous version and decision records when content changes. For a published error, use the correction path and a successor version so the prior publication and its receipt remain explainable.
