How a Donor Management System rollout works
Set up the first funding case and receipt review cycle.
Agree the scope
Pick an organization, active program and real request to use in the pilot.
Set responsibility
Assign a case owner, funding reviewer, finance officer, receipt reviewer and operations lead.
Load the records
Confirm program codes, case amounts, due dates, team members and supporting files.
Rehearse the decisions
Submit a case, record a reasoned decision, enter an award and follow the fund events.
Check the receipt
Prepare a donation receipt, obtain independent review and trace its operation result.
What the customer provides
Bring the organization and program list, case ownership, current requests, award history, event dates and amounts, and the provider references used for reconciliation. Choose an actual case with evidence and a reviewer available to test the handoff.
Changing it afterwards
When a case changes after review, retain the earlier decision and supporting file. Check the current revision, record the new decision and inspect the operation result. Adjust role access only after repeating the same pilot checks with the affected people.
