Step by step

  1. Confirm the reviewed subject Dispatcher

    Dispatcher checks the approved coaching session and the evidence required for its completion. Transport Supervisor's decision must identify the intended work and source revision. Another approved session on the same load cannot supply that identity by association alone.

  2. Request verified closure Dispatcher

    Dispatcher invokes the eligible coaching closure action after the review and agreed completion evidence. Confirm that the intended session reaches Completed. Retain the surrounding evidence and keep driver eligibility, vehicle readiness and delivery status on their separate update paths.

  3. Read outstanding receipts Transport Supervisor

    Transport Supervisor uses reconciliation to read action receipts that are Pending, Failed or need review. Examine the action, expected revision and source or external references. The reconciliation workflow returns outstanding items for review and does not blindly repeat external execution.

  4. Handle a correction Dispatcher

    Dispatcher records the reason when canceling authorized unexecuted draft scope. Preserve executed evidence. If an external system controls the effect, follow its responsible process rather than assuming a local cancellation reverses the external outcome.

  5. Inspect the outcome Transport Supervisor or Auditor

    Transport Supervisor resolves the evidence needed to accept the result, while Auditor reads the authorized history. Keep unresolved items visible until their actual outcome can be explained. A closed coaching record does not by itself settle an outstanding receipt for another action.

Where it usually breaks

  • Session completion is inferred from approval alone. Check the agreed completion evidence and actual result.
  • Reconciliation repeats an external action to discover its outcome. Read the existing source and confirmation evidence first.
  • Executed evidence is removed during cancellation. Retain the original record and the correction reason.
  • A completed session is treated as renewed driver authority. Check the separately maintained external eligibility record.
