Prepare and Review Coaching

Present the intended driver, incident context and assessment to an independent Transport Supervisor.

Step by step

  1. Identify the session Transport Supervisor

Dispatcher selects the load and organization, identifies the driver and records the incident reference. Transport Supervisor confirms the driver against the relevant assignment through authorized records and gives Dispatcher the identity to record. Keep the session distinct from other coaching associated with the same load.

    • Confirm the driver and assignment context through authorized records
    • Updates Load assignments, Drivers
  2. Prepare the assessment Dispatcher

Dispatcher sets the scheduled date and records the assessment score using the agreed method. Retain the supporting assessment material with the load evidence. Check that its title and context identify the session the supervisor will assess.

    • Retain the schedule, recorded score and assessment evidence
    • Updates Coaching sessions, Record attachments
  3. Submit the work Dispatcher

Dispatcher moves the prepared session from Draft to Submitted. Present the current revision and the evidence needed for review. A scheduled date or score alone does not establish that the work is ready for a completion decision.

    • Move Draft to Submitted for independent assessment
    • Updates Coaching sessions
  4. Decide independently Transport Supervisor

Transport Supervisor checks the identified session and evidence and approves or rejects the submitted work with a reason. Approval moves it to Approved; rejection records Rejected. A Return decision requests clarification and does not establish approval or completion.

    • Record approval, rejection or return with the relevant revision and reason
    • Updates Coaching sessions, Review decisions, Team members
ApprovalA person approves before the work moves on.
  5. Prepare verified closure Dispatcher

Dispatcher follows the review reason and confirms the evidence needed for the accepted session's completion. Keep the supervisor's decision tied to the actual subject and source revision before requesting the eligible closure action.

    • Confirm the accepted subject and completion evidence
    • Updates Coaching sessions, Review decisions, Record attachments

Where it usually breaks

And how to keep it from happening.

  • The driver description is accepted without checking the person involved. Reconcile the session identity with the actual assignment or authoritative driver context.
  • The score's meaning is unclear. Establish its assessment definition before interpreting the result.
  • An earlier approval on the same load is used for another session. Identify the actual reviewed subject and revision.
  • A returned decision is treated as approval. Resolve the supervisor's question and present the relevant work again.
