Record Load Movement and Evidence

Retain physical pickup, stop context and recipient proof for the operational record behind driver coaching.

Step by step

  1. Confirm physical pickup Dispatcher

Dispatcher checks the actual pickup before following the dispatch action. Record the pickup time and keep the load's driver and vehicle assignment available for reference. A plan alone does not establish that physical movement has begun.

    • Record actual pickup and begin the dispatch lifecycle
    • Updates Loads, Load assignments
  2. Follow the movement Dispatcher

Dispatcher tracks the load through Dispatched and In Transit. Ordered stops retain their windows and observed arrival and departure times. Keep relevant evidence available when an exception or incident needs explanation.

    • Retain operational stages and stop timing context
    • Updates Loads, Load stops
  3. Complete delivery Dispatcher

Dispatcher supplies recipient proof and the actual delivery time before the completion action marks the load Delivered. Retain the stop proof reference and supporting file under the intended load. The delivery result does not establish completion of an associated coaching session.

    • Record Delivered only with recipient proof and actual delivery time
    • Updates Loads, Load stops, Record attachments
  4. Identify the incident context Dispatcher

Dispatcher prepares the incident reference and selects the supporting load evidence for the coaching discussion. Confirm the driver involved in the movement and distinguish the incident material from ordinary delivery proof.

    • Associate the intended incident and driver with the load evidence
    • Updates Coaching sessions, Record attachments, Loads
  5. Inspect the record Transport Supervisor or Auditor

Transport Supervisor reviews authorized movement and evidence records. Auditor can trace the parent load, file uploader and review history. Keep the operational result available when a later session requires independent assessment.

    • Read the recorded movement and supporting evidence
    • Updates Loads, Record attachments, Review decisions, Operation receipts

Where it usually breaks

And how to keep it from happening.

  • A planned pickup is used as the actual pickup time. Confirm the physical event before recording the dispatch outcome.
  • Delivery is requested without recipient proof. Obtain the required evidence before accepting a Delivered result.
  • A session points to a load with the wrong incident material. Check the incident reference and actual driver before submission.
  • Delivered is read as a coaching or financial completion signal. Inspect the relevant session or external financial record separately.
