Check Readiness and Plan an Assignment

Confirm driver identity, vehicle context and commitment periods before treating a load plan as feasible.

Step by step

  1. Check reference records App Administrator or Transport Supervisor

App Administrator maintains the driver code, eligibility date and external authority, along with the vehicle's active state and readiness. Transport Supervisor inspects authorized repair and release evidence when reviewing the vehicle context. Resolve an uncertain external record through its responsible source.

    • Confirm identity and externally supported readiness context
    • Updates Drivers, Vehicles, Vehicle defects
  2. Prepare the load Dispatcher

Dispatcher identifies the organization, owner and transport partner and records the promised delivery and equipment context. Keep the partner's eligibility note available to the team. Confirm the operating time zone used to interpret the planned movement.

    • Establish the responsible scope and movement context
    • Updates Loads, Organizations, Transport partners, Team members
  3. Check the commitment Transport Supervisor

Transport Supervisor reviews the intended start and end period against driver and vehicle commitments. Resolve overlapping work before treating the plan as feasible. Check recorded eligibility and equipment readiness using the planning policy agreed during setup.

    • Inspect the proposed period against existing commitments
    • Updates Load assignments, Drivers, Vehicles
  4. Plan the assignment Dispatcher

Dispatcher uses the eligible planning action to set the load Planned and create its driver and vehicle assignment. Retain the resulting references and the assignment's own state. A load stage and an assignment state describe related but separate operational records.

    • Move Draft to Planned and retain driver/vehicle assignment
    • Updates Loads, Load assignments

Where it usually breaks

And how to keep it from happening.

  • Similar driver names are used without checking the driver code. Start from the actual assignment reference before preparing later coaching work.
  • A free driver is treated as evidence that the vehicle is available. Inspect both commitment periods.
  • A readiness change is assumed from a coaching result. Review the vehicle's own recorded evidence and authority.
  • Time periods use inconsistent local interpretations. Agree the organization's time-zone convention before comparing assignments.
