Keep the accepted price with the order

The Pricing module preserves the commercial values accepted when an order enters the system. Each line retains its unit price, discount, tax amount and price evidence. The order adds shipping, currency and the source tax-calculation reference. The goal is to explain the amount the customer agreed to even after catalogue prices or promotions have changed.

An incoming channel price must be evaluated under a defined policy. Some businesses treat the channel checkout as the price authority; others compare it with an approved rule before release. The selected policy and its version belong in configuration. Unknown currency, missing tax evidence or a price outside the permitted range produces an exception rather than an invented correction.

Apply effective-dated agreements

Price rules associate a product and channel with an effective period, currency, unit price and permitted discount. A rule may also identify a particular customer agreement. Overlapping eligible rules require a deterministic precedence rule configured and tested during implementation. The system must not choose a convenient price by whichever record happened to load first.

Historical orders keep their applied rule version and value. Retiring an agreement prevents future use but does not reprice accepted demand. Quantity units also matter: a carton price cannot silently become an each-unit price. Product units and decimal precision must be mapped before the commercial snapshot passes validation.

Review exceptions at a frozen revision

The Order Desk submits a price exception with the proposed value and business reason. An independent Order Manager sees the affected order revision and makes the decision. A later change to the quantity, product, price or discount supersedes that decision. Approval is not reusable authority for a different basket.

Warehouse staff cannot edit prices through a fulfilment screen or direct API request. Administrator access does not bypass the decision rule. The commercial change process explains how the same revision discipline applies to address, quantity and promise changes.

Reconcile amounts across partial outcomes

Partial shipments and returns should remain understandable financially. Merchandise, discount, shipping and tax allocations must sum back to the original accepted components under the configured currency precision and rounding policy. Refund proposals retain that breakdown and their capture identity, so repeated partial returns cannot consume more than the original refundable amount.

This design does not calculate statutory tax or determine legal refund entitlement. The configured tax provider, channel terms and the business’s approved return policy supply those inputs. Accounting acknowledgement remains distinct from a local financial request. Finance Reviewer checks exceptions and the final external outcome before treating an amount as settled.
