Who it's for

Service purchasing

Service teams can describe a planned purchase in request lines and use the required date to set review priority. The work starts with a named Buyer and ends with a request whose current state agrees with the decision, order and accepted quantities.

How E-procurement Portal is set up for you

Organization and supplier

Keep the service description, requested quantity and unit price together on each line.

Demand and offer

Attach scope documents with a deliberate visibility setting so reviewers can read the evidence.

Decision and outcome

Compare tender offer amounts and evaluation scores before recording the award decision.

Service teams can describe a planned purchase in request lines and use the required date to set review priority. The work starts with a named Buyer and ends with a request whose current state agrees with the decision, order and accepted quantities.

Start with one buying organization, a small supplier set and a real request that needs review. Enter the organization, owner, counterparty, amount, budget code and required date. Put the requested quantities on the purchase lines. Have the Buyer explain the request to the Purchasing Approver using the record itself, then check the decision and its reason against the correct revision.

If the purchase is competed, create tender submissions beneath the request. Compare the offer amounts and evaluation scores, record the decision date and run award only for an approved tender. Read the operation receipt to confirm the outcome. Continue with the order reference and accepted quantities when the purchase is fulfilled. The Operations Overview helps the team find pending decisions and failed operations between handoffs.

Use an attachment for the supporting file and choose Internal or Shared visibility deliberately. Ask an Auditor to trace the request back through its decision, tender and receipt. This rehearsal reveals whether the chosen owners, supplier naming and evidence rules will work for the next purchasing cycle.
