What you can do

Give every item a course context

A content item needs a stable course definition before an operator prepares its interactions and review evidence. The ed tech Content Platform Administrator maintains the course catalog, including the organization, code, active state and effective period. Operators select that definition when they create learning content. This keeps a returned revision attached to the same course rather than making the reviewer infer its intended program from the item name.

How the work is organized

The administrator agrees a code with the course owner and checks whether the course is active for the intended period. A content operator then chooses the course definition and organization while preparing an item. A mapping record can document how a source field becomes a target field when content originates outside the platform.

  • Name the program. Use the course code and name that the team will recognize in review and reporting.
  • Set the operating period. Agree when the definition takes effect and when it should stop being selected for new work.
  • Check source mappings. Review the mapping version and transform rule for imported values that affect the course.

What to agree during setup

Choose who maintains course codes, how organizations divide responsibility, and what happens when a course definition changes after content has been submitted. The pilot should include an active course, a course whose effective period is ending, and an item attached to each. Agree whether a course code can be reused across organizations. Prepare the existing catalog so operators can choose definitions consistently during the first operating cycle.

Check the handoff on an actual case

An administrator enters a program for an autumn release. Its code identifies the program, the effective dates state when the program applies, and the organization identifies the team accountable for it. An operator prepares a video lesson under that definition and records interaction outcomes for a quiz. The reviewer needs to see the program context when deciding whether that lesson is ready.

Now suppose the course title changes while the lesson is awaiting review. Keep the lesson connected to its course definition and record the change in the catalog rather than reassigning the lesson to a lookalike course. The reviewer can compare the submitted revision and its evidence with the course that the operator selected. The administrator can inspect any field mapping used by the source feed and flag a change for the person setting up the import before more items are entered.

Rehearse the case with the administrator, operator and reviewer. Ask the operator to locate the item from the active course list. Ask the reviewer to identify the course on the content record and explain whether the pending decision still applies to the same revision. The handoff is ready when the course code, organization and content definition agree.

What your team sees

  • Active courses — Course definitions available for current preparation, with their effective periods.
  • Content work queue — Content items under preparation or review, showing the linked definition through each item.

Follow the work through

Follow content preparation to see how a catalog definition becomes an item ready for review. Review the data model before preparing a catalog import.
